1. Who we are

JobLoad360 is construction management software operated by R31 Holdings LLC ("we", "us"). This policy covers the jobload360.com website and the JobLoad360 app, on the web and on phones. Questions about it, and every request below, go to privacysecurity@jobload360.com.

2. Whose information this is

Our users. The contractors, their managers, and their crews who have JobLoad360 accounts. We decide how that information is used, as this policy describes.

Our users' customers. The homeowners and clients a company enters into JobLoad360, or who open a quote, invoice, or project link a company sends them. That information belongs to the company that entered it. We hold and process it for that company, only to provide the service, and a customer who wants to see, correct, or delete it should start with that company. We will help the company answer.

3. What we collect

  • Account details: name, email address, company, role, and the password you sign in with. Passwords are held by our hosting platform's sign-in service; we never see them.
  • Business records a company keeps in the app: customers' names, addresses, phone numbers and email addresses; jobs, estimates, quotes, invoices, payments, change orders, daily logs, purchase orders, and documents.
  • Field captures: job photos, videos, voice notes and their transcripts, drawings, and receipts.
  • Location: when you take a job photo, or clock in or out, with location access allowed, the app records your device's GPS coordinates with that photo or time entry. It reads your location at those moments only and never tracks it in the background. Deny location access in your device settings and photos and punches save without coordinates. Job site addresses are also turned into map coordinates for the job map.
  • Signatures: when a customer signs a quote, invoice, change order, or field record, the drawn signature, the name they gave, and the time. Signed quotes, invoices, and change orders are also kept as a sealed copy with an integrity hash, so the signed version cannot change unnoticed.
  • Payments: Stripe processes card payments. We receive the payment record (amount, date, status), never a card number.
  • Usage and device information: the screens you open, errors the app hits, your browser and device type, and IP addresses in our providers' server logs.

4. How we use it

To run JobLoad360 for your company; to bill your subscription; to send the emails the app sends on your behalf (quotes, invoices, updates) and the ones we send about your account; to keep the service secure and find abuse; to answer support requests; and to see where the app is confusing or broken so we can fix it.

We do not sell personal information, we do not share it for cross-context behavioral advertising, and there is no advertising in JobLoad360.

AI features run only when someone in your company uses one. The text, photos, voice notes, or drawings that feature needs are sent to an AI model provider through our hosting platform to produce the draft, which a person then reviews.

5. Who else receives it

These providers receive personal information so that JobLoad360 can work. Each one gets only what its job needs. We will update this list before a new provider receives personal information.

  • Base44

    Hosts the app and stores its data: accounts and sign-in, every record, uploaded photos, videos and documents, and the email the app sends.

    Receives: All account, company, and customer data

  • AI model providers, through Base44

    Draft scopes, walkthrough logs, change-order and scope-change summaries, blueprint takeoffs, and material price searches. The request carries what the feature is working from: notes, and for field scopes and takeoffs the photos, voice notes, or drawings. Base44 chooses the provider; some features use Google's Gemini models.

  • Stripe

    Subscription billing, and card payments customers make on a company's invoices. Card numbers go to Stripe directly and never reach JobLoad360.

    Receives: Names, email addresses, billing details, payment records

  • HeyCatch

    Product analytics: which screens are used and where the app breaks. For a signed-in user it receives the user id, name, and email address.

    Receives: Usage events, device and browser details, user id, name, email

  • US Census Bureau Geocoder, Photon (Komoot), and OpenStreetMap Nominatim

    Turn a job's address into map coordinates for the job map.

  • OpenStreetMap

    Map tiles for the job map, loaded by your browser.

  • Google Fonts

    The site's typefaces, loaded by your browser.

We also disclose information when the law requires it, to protect people or the service from harm, or to a buyer if the business is sold, under this same policy.

6. Cookies and browser storage

JobLoad360 uses no advertising or social media cookies. What it keeps in your browser:

  • Your sign-in session: a token kept in your browser's local storage so you stay signed in. It is removed when you sign out.
  • Preferences: small entries that remember choices such as a dismissed setup checklist, pinned menu items, the sidebar state, and a running clock-in on this device.
  • Two-factor sign-in: if you use an authenticator app, this tab remembers when you last entered a code, so you are not asked again for twelve hours. It holds no secret and is gone when the tab closes.
  • A password reset in progress: the email address you asked to reset, kept for a day so the reset page can check your new password is not built from it, and removed once the reset is done.
  • Product analytics: an identifier our analytics provider, HeyCatch, uses to connect your visits. Once you sign in it is linked to your account.

You can block or clear these in your browser. Blocking the session token signs you out.

7. How long we keep it

  • While the company's account exists, we keep its records, including after a paid plan ends: the company moves to the free plan and keeps its data.
  • Signed documents are kept for a minimum period the company sets, 7 years from signing unless it chooses another, so a customer can always see what they signed.
  • Invoices, quotes, and payments are archived rather than deleted when a job is deleted, because tax and payment records have to be kept.
  • When you delete your own account in Account settings, your user account and your job assignments are deleted at once. Time-clock entries are never deleted automatically: they are the company's payroll records and stay with it, as do the company's other records.
  • When a company asks us to delete its data, the company owner schedules it under Company Information, or emails privacysecurity@jobload360.com. The deletion runs automatically 44½ days after the request, inside the 45 days we promise, and the owner can cancel it until an hour before. It deletes the company's jobs, customers, estimates, photos and files, logs, schedules, suppliers, and settings, and removes everyone from the company; each person keeps their own sign-in and can delete it. We keep what the law requires: invoices, quotes, payments and payment adjustments, signed documents, time-clock entries, and our own billing records for the company. Customer links to the kept invoices and quotes stop working.
  • Stored files and backups: our file host does not yet let us erase an uploaded file, so when a photo or document is deleted its stored copy stays at an unlisted address that nothing links to, and we keep a list of those copies to erase as soon as we can. Deleted data can also remain in our providers' backups until those backups expire.

8. Your choices and rights

You can ask to see, correct, export, or delete the personal information we hold about you, and to know how it has been used. Whichever US state you live in, including California, Colorado, Connecticut, Virginia, and the other states with privacy laws, we answer these requests the same way, within 45 days, and never treat you differently for making one.

  • See or correct: most of it is on your Account and Settings pages; for anything else, email privacysecurity@jobload360.com.
  • Export: Pro companies can export their records to Excel themselves. Any user can ask privacysecurity@jobload360.com for a copy of their personal information.
  • Delete: delete your own account in Account settings, or, as the company owner, schedule deletion of the company's data under Company Information (or email privacysecurity@jobload360.com).
  • Location: turn off location access for JobLoad360 in your device or browser settings.

We confirm a request by replying to the email address on the account before acting on it. If you are a customer of a company that uses JobLoad360, send your request to that company; if you cannot reach them, write to us and we will pass it on.

9. Security

How we protect this information, and how to report a security problem, is on our Security page. If a breach affects your information, we will tell the affected companies without undue delay, and as US breach-notification laws require.

10. Where it is processed

We are a US company. Our providers process information in the United States and may process it in other countries.

11. Children

JobLoad360 is not for anyone under 18, and we do not knowingly collect information from them.

12. Changes to this policy

When this policy changes, the date at the top changes. We tell users about significant changes in the app or by email before they take effect.
